Academic Records - Services and Resources

Services and Resources

The Academic Records Office provides information and services to meet the needs of current and prospective students as well as alumni and past attendees. Our services include transcript requests, enrollment verifications, registration/transfer/withdraw resources, and more. It is our goal to provide information in a timely, accurate, and supportive manner.

Transcript Requests

If you attended Thiel College for undergraduate and/or graduate work, all courses will appear on your transcript, with term-by-term and cumulative grade point average, total credits attempted and earned, and degree grant date (if applicable). In accordance with the Family Educational Rights and Privacy Act (FERPA) of 1974, transcripts are released to a student or a third party only upon receipt of a request that includes the student’s signature. Please note that all financial obligations must be resolved before an official transcript can be released.

While student academic records are maintained in the Academic Records Office in Roth Hall, Thiel College has partnered with the National Student Clearinghouse for official transcript processing. The reproduction and sending of transcripts/records are governed by federal legislation (under Section 438 of the Family Education Rights to Privacy Act of 1974 as amended). Transcripts will not be released without written permission from the student.

Enrollment Verifications

Thiel College has authorized the National Student Clearinghouse to provide enrollment and degree verifications. The National Student Clearinghouse can be contacted at:

  • National Student Clearinghouse, 2300 Dulles Station Boulevard, Suite 300, Herndon, VA 20171

An Enrollment Verification serves as documentation that a student is currently enrolled at the college as a full-time, half-time, or less than half-time student. The Enrollment Verification Form is frequently requested to prove enrollment to health insurance, loan deferment, scholarships, and housing agencies, employers, or others.

FERPA Waiver

In accordance with the Family Education Rights and Privacy Act of 1974 (FERPA), Thiel College may not release information concerning a student's attendance, academic performance, disciplinary matter, or other private information normally kept in the student file to third parties, including parent(s) or legal guardians(s). To access the above noted information, third parties must either prove the student's financial dependency upon them, or the student must grant a waiver of the rights given them in accordance with FERPA. Because this act gives the student control over the release of information, information concerning their institutional record and status will not be sent to anyone without their consent. This release has some exceptions and those include suspension, dismissal, expulsion, incidents involving alcohol or drugs, and general institutional discretion. Students are therefore requested to complete the Waiver for Release of Student File Information to indicate whether they waive or do not waive the provisions of FERPA pertaining to the release of student file information to third parties.

Room Reservation Request

Students may wish to reserve a classroom or other campus area for their Thiel-sponsored club or activity. Faculty may wish to reserve a room for a class-related activity falling outside the normally scheduled course meeting. Staff/Coaches may reserve rooms for meetings (with other staff and/or students). To submit an event, use the Room Reservation Request, and depending on the requested space (a dedicated classroom, or special event space) either the Office of Special Events or the Academic Records Office will follow up to review/process this request.

Personal Information Update

A Personal Information Update is completed when students need to make a change/update/correction in their academic record to their address, phone number, personal email contact, gender, or race/ethnicity.

Preferred First Name Change
If a student has a preferred first name that differs from their legal name, a Preferred First Name Change Request can be completed. With this form, students have the option to request an update to the display of their first name on their campus ID card, Outlook email (sending and/or receiving), and name presentation on Moodle and Self Service platforms. Note: This is a request for a change in display name only. This is not a legal name change; therefore, transcripts are required to reflect the student's legal name.

Advanced Placement (AP)/International Baccalaureate (IB)/ College Level Examination Programs/Credit for Life Experience

Credits may be granted to entering students under the following programs:

  • Advanced Placement Program (AP): Thiel College participates in the Advanced Placement Program as instituted by the College Entrance Examination Board. Advanced placement and credit may be granted to admitted students who show satisfactory scores on the Advanced Placement Examinations of the College Entrance Examination Board. A score of five on an advanced placement examination will result in exempt status from the equivalent course and the awarding of appropriate credit hours for that course. A score of four will result in exemption from the equivalent course. Scores of three and below will not be considered. For a full listing of courses, download our Thiel College AP Exam Policy.
  • International Baccalaureate (IB) Diploma/Certificate Program: Thiel College will award credit and/or advanced placement to students earning the international baccalaureate (IB) diploma/certificate. Scores of six and seven will result in exempt status from the equivalent course at the Standard Level (SL) and scores of five, six and seven at the Higher Level (HL) of study will result in exempt status from the equivalent course and the awarding of appropriate credit hours for that course.
  • College Level Examination Program (CLEP): Those scoring appropriately well on these tests may receive both credit and placement at Thiel College in the freshman and sophomore levels but not the junior and senior levels. New students must submit scores to the Registrar before completing the regular semester of work after matriculation or readmission. Thiel will accept as many as 60 credit hours of work through CLEP tests. Thiel will accept American Council on Education (ACE) recommended scores for the award of credit to satisfy elective and integrative requirements. However, the appropriate department must approve courses to be used to satisfy major and minor requirements. There is a $15 per credit hour administrative fee for courses received, processed and placed on the official transcript for credit applied to a degree program. Information concerning CLEP examinations may be obtained from the College Entrance Examination Board at clep.collegeboard.org.
  • Credit for Life Experience: Thiel College has adopted a portfolio review procedure for awarding credit for life experiences of prospective adult students applying for admission to the College. Should a candidate wish to pursue the portfolio review, they must make a formal application to the College and pay a fee of $25 per credit hour for each credit presented for review. The candidate will prepare a portfolio under guidance of a portfolio advisor. Further information about this procedure is available through the Registrar

Registration
  • Current Thiel students: Registration occurs each semester online through Self-service. Registration opens for each class at designated times, with seniors preregistering first, followed by juniors and then sophomores. All DHI students have priority preregistration prior to seniors. Check the current year Academic Calendar for designated preregistration days. Students are strongly encouraged to schedule an appointment with their academic advisor prior to their registration day to discuss courses and their overall academic plan and progress toward degree completion.

Withdrawals and Readmission

To formally withdraw from the college, a student must secure the proper form from the Academic Records Office (1st Floor, Roth Hall) and file the completed form with the Registrar.

Any student who withdraws (in good academic standing, or those who withdraw while on probation or who have been academically suspended) may request to return by completing a Request for Readmission. For students who withdraw while on probation or who have been academically suspended, the Academic Standing Committee will review the request and determine whether readmission is warranted in accordance with academic policy. Please note: Any student who is accepted for readmission must meet all College and departmental requirements as stated in the Academic Catalog at the time of readmission.
