Thiel College is seeking a full-time Administrative Assistant to report to the Physician’s Assistant Program Director and Clinic Director. This position provides secretarial support to the administrative faculty and staff of the PA Program.
An Associate degree or higher is required and at least 3 years’ experience as an administrative assistant. Medical office secretarial experience and proficiency in Microsoft Office Suite is preferred. Excellent computer skills, verbal/written communication, organizational and interpersonal skills are a must.
Answer inquiries for information regarding PA program (Wufoo, email, phone, etc.), assist with recruiting students for Pathway 1 (undergraduate path into PA program), develop spreadsheet of all applicants who complete apps in CASPA, monitor daily for new completed apps to be handled by Admissions, and also coordinate applicant interview days.
Other Responsibilities included but not limited to:
Maintaining Clinical Site Affiliation Files in Typhon and also in paper files in file room, printing Preceptor Licenses, board certification, and site requirements and filing in clinical site folders as well as adding new sites. Organize letters of intent and available slots from each site, scan/Upload and organize all affiliation agreements, licenses, board certifications, update all info annually: preceptors, licenses, agreements, etc. Arranging clinical site travel requests and reimbursement for faculty making clinical site visits, as well as facilitate and help with scheduling faculty site visits at clinical sites.
Assisting with scheduling of student exams, coordinate patient and graders for OSCE’s throughout clinical year on call back days. Coordinating and scheduling End of Rotation Examinations for Students for Call back days. Schedule EORE examinations in PAEA exam driver and scheduling PACKRAT Examinations in PAEA exam driver.
Other student-related duties include keeping a spreadsheet of all students’ contact info, etc., uploading names of new students into Certiphi and Typhon, upload class list into NCCPA, print and fill out Verifications for graduation and credentials; once signed, make a copy for student file and mail or scan/email to proper recipient, and assisting students with graduation preparations.
Printing meeting minutes, syllabi and placing them in binders once received for the ARC-PA Site visit, keeping Clinical files up to date, uploading site visits in Typhon, Affiliation agreements etc., and keeping and updating Student File Spreadsheets.
